1. Introduction
Voice For Locals ("Voice For Locals", "VFL", "we", "our", or "us") is committed to protecting your privacy and handling your personal information fairly, transparently, and in accordance with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and other applicable privacy laws.
This Privacy Policy explains how we collect, use, store, share, and protect your personal information when you use the Voice For Locals Work web application (the "Work App") at work.voiceforlocals.org to train as a Local Champion, sign up local businesses, and earn commissions. It supplements our general website privacy policy at voiceforlocals.co.uk/privacy.
Important: The Work App uses the same Voice For Locals shopper account as the Shoppers mobile app. Logging in with your email creates or restores a shared account. See also our Shoppers App Privacy Policy.
The Work App is a web application hosted on Firebase. It is not currently distributed as a separate native app on the Apple App Store or Google Play.
Please read this policy carefully. By creating an account or using the Work App, you acknowledge that you have read and understood this Privacy Policy.

3. Who This Policy Applies To
This Privacy Policy applies to individuals aged 18 or over who use the Work App to participate in the Local Champion / job seeker programme, complete training, sign up local businesses, and receive commissions.
The Work App is not intended for anyone under 18. We do not knowingly collect personal information from children.
4. Personal Information We Collect
4.1 Account and Authentication Information
When you log in with your existing Voice For Locals shopper account:
- Email address (login identifier)
- One-time password (OTP) verification records
- Name, phone number, and postcode (from your shopper profile)
- Gender, audience profile type, and ethnicity (if present on your shopper profile — displayed but not editable in the Work App)
- Profile photograph from your shopper account
- Referral code and loyalty tier
- Access token stored in your browser
If you do not yet have a shopper account, you will be directed to create one in the Shoppers App first.
We do not offer Google or Apple Sign-In in the Work App (email OTP only).
4.2 Local Champion Profile
When you complete your champion profile:
- Name, phone number, city, region, and postcode
- Biography
- Up to five profile photos (JPEG/PNG/WEBP uploaded from your device)
- Incoming referral codes applied to your account
4.3 Training and Progress Information
- Training stage status (interview, e-learning, app training, business skills, field training, certification, self-employed)
- Calendly booking timestamps (bookings open Calendly in a new browser tab)
- E-learning module progress, quiz scores, pass/fail results, and attempt counts
- SCORM learning progress stored locally in your browser
- Superadmin-mandated lesson revisions
- Employment status (training, hired, blocked) and block reasons where applicable
4.4 Payments and Commissions
- Payment method selected (Stripe card, Klarna instalments, or voucher code)
- Payment amounts, Stripe session/payment intent identifiers
- Monthly commission invoices and submission records
- Commission tiers and totals
- Businesses signed using your referral code (names, addresses, contact details, campaign statistics)
4.5 Work Activity and Rankings
- Businesses you have signed up (name, address, phone, postcode, reviews)
- Business feedback and campaign metrics (sent, reached, walk-ins, redeemed)
- Leaderboard rankings (local, regional, national — your name and area)
- Referred job seekers (name, email, stage, commissions)
- In-app notification inbox messages and read status
4.6 Referrals and Sharing
- Referral codes you share via WhatsApp, email, SMS, clipboard, or device share sheet
- Referral codes applied to your account
4.7 Support Requests
- Subject and message content for support tickets submitted through the Work App
4.8 Device and Technical Information
- Browser type and IP address (standard web server and hosting logs)
- Local browser storage (session token, champion profile, training progress, SCORM data)
- Cookies set when you authenticate (

We do not collect precise GPS location, advertising identifiers, or use analytics SDKs in the Work App.
5. How We Collect Information
We collect personal information when you:
- Log in with email OTP
- Complete or update your champion profile and upload photos
- Progress through training stages and complete quizzes
- Make payments for e-learning or certification
- Sign up businesses and track commissions
- Submit invoices or support requests
- Share or apply referral codes
- Delete your account
We also receive information from our backend systems about businesses, rankings, and notifications.
6. How We Use Your Information
We use your personal information to:
- Authenticate you and maintain your shared shopper/champion account
- Deliver the Local Champion training programme and track your progress
- Process payments for training and certification
- Calculate and pay commissions for businesses you sign up
- Display your champion profile, ratings, and rankings
- Send in-app notifications about training, payments, and programme updates
- Operate referral programmes
- Provide customer support
- Comply with legal and tax obligations
- Detect fraud and enforce programme rules
We do not sell your personal information. We do not display third-party advertising in the Work App.
7. What We Do Not Do
- We do not collect precise GPS location from your device
- We do not send push notifications via FCM/APNs (in-app inbox only)
- We do not use cross-app or cross-site tracking
- We do not use Firebase Analytics or other analytics SDKs in the Work App

We share the minimum information necessary for each purpose.
10. Photos
You may upload up to five profile photos from your device (JPEG, PNG, or WEBP; minimum 800×800 pixels; maximum 3MB each). Photos are processed in your browser and sent to our servers. We do not access your camera directly; you choose files from your device gallery.
Photos are displayed on your champion profile, home card, and header avatar.
11. Location
The Work App does not use GPS or device geolocation. We use your profile postcode, city, and region (which you provide) to display your area on rankings and invoices. Business addresses shown in the Work App belong to businesses you have signed up, not your live location.
12. Account Deletion
You may delete your account in the Work App (Edit Profile → Delete Account). Because the Work App shares a shopper account, deletion removes your Voice For Locals consumer account entirely.
Deletion requires OTP verification via your registered email or phone number. Upon confirmed deletion:
- Your personal identifiers are anonymised on our systems
- Pending shopper wallet rewards may no longer be redeemable
- Transaction and loyalty records required for legal compliance may be retained in anonymised form (typically up to six years for UK financial records)
- Local browser storage (session token, champion profile) is cleared
- SCORM training progress stored locally may remain until you clear browser data

13. Data Retention
We retain personal information for as long as necessary to:
- Provide the Work App and champion programme
- Maintain training, payment, and commission records
- Comply with legal and tax obligations
- Resolve disputes and enforce agreements
When information is no longer required, it is securely deleted or anonymised.
14. Security
We implement appropriate technical and organisational measures, including HTTPS/TLS encryption, secure OTP authentication, and access controls on our cloud infrastructure.
Photos and session data stored in your browser remain on your device until you log out or delete your account. You should use a secure device and browser.
15. Your Rights
Under UK GDPR, you have the right to access, rectify, erase, restrict, object to processing, withdraw consent, data portability, and lodge a complaint with the ICO at ico.org.uk.

16. Third-Party Links
The Work App links to Calendly, Stripe, Klarna, YouTube, WhatsApp, and app store pages. This Privacy Policy does not apply to those third-party services. Review their privacy policies before use.
17. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. The latest version will be available on our website and linked from the Work App.
